General Terms & Conditions, Policy & Rental Agreement

It is the responsibility of the guest making the booking to read and understand the following terms and conditions and to ensure that all other guests are also aware of and adhere to these terms. The legal name on the rental agreement must occupy the property during the dates booked and is responsible for all guests staying at the property.
Washington Great Escapes | Leavenworth Great Escapes LLC strives to make your visit to the Leavenworth, Republic & Camano Island areas comfortable and filled with lasting memories.
Please review the following policies below and let us know if you have any questions prior to booking.
***Due to recent Chelan County Short Term Rental regulation changes, please note that occupancy limits are strictly adhered to by Washington Great Escapes | Leavenworth Great Escapes LLC. These regulations include the number of vehicles that are allowed at each property and where they are allowed to park. Non compliance of these 2 very important changes, could cause Washington Great Escapes | Leavenworth Great Escapes LLC and the homeowner to be in breech of their annual permit to rent out their home and risk loosing their annual permit. Non compliance/violation penalties will be passed on to the registering guest. This could include a county designated fine, eviction from the property and loss of all monies paid for the reservation.
Minimum night Stay: There is a 2 night minimum stay required for all reservations. Most holiday and some festival weekends require a 3 night minimum stay. This includes all Federal Holiday weekends: New Year’s Day, MLK Day, Presidents Weekend, Memorial Day, Independence Day (4th of July), Labor Day, Thanksgiving Day and Christmas Day. There are no check in's allowed on Thanksgiving day or Christmas Day or Easter without prior approval.
Check-in time is after 4:00 PM PST
Check-out time is by 11:00 AM PST
All of our properties are self-check in so no need to worry if you cannot arrive by the check in time
Early check in/late checkout: If you are interested in checking in early or departing late, please check with us for availability and pricing. We do our best to accommodate such requests but cannot guarantee that it will be available.
Deposits and Payments
Deposits and Payments A 50% deposit is required at the time of booking, unless the reservation arrival is within 30 days, then full payment is required. Full payment includes Rent, Lodging Taxes, Cleaning Fee, Refundable Damage Deposit (if applicable) and any processing fees. Final payment is due 31 days prior to arrival.
Rental Rates The nightly rate for each property is listed under the rate tab. Each property has a base rate for x # of guests and any guests beyond the base will be charged $25 per person / per night for adults (anyone over the age 13) and $15 per person / per night for children, no charge for infants/children under 2.
Please note that we do not allow sleeping on any furniture that that is not designated as a sleeping area or on the floor. Additional guests beyond the base must be paid in advance.
Damage Deposit A refundable damage may be required for the property. The amount depends on the size and type of property. This is fully refundable so long as there is no damage to the property and the rental contract has been followed.
If there are any issues, breaks or malfunctions let us know as soon as possible so that we may address the issue during your stay.
Bed linens and towels are provided
For your added convenience, we start you off with coffee, tea, sugar, salt & pepper, a basic supply of foil, paper towels, toilet paper, garbage bags, hand soap, dish/dishwasher soap, laundry soap, shampoo, conditioner, body wash. You are responsible for any additional requirements during your stay. (your arrival instructions will contain what type of coffee maker is at the property you reserved)
Our maintenance and housekeeping staff work hard to ensure your vacation home is in tip-top condition. If you should discover otherwise, please report it to us immediately and we will do our best to correct it as soon as possible. Immediately notify us at 509-349-3009. We do not offer mid-stay housekeeping unless pre-arranged and an extra fee paid.
Mid-stay housekeeping is not included during your stay, it will take place after your stay. Should you require housekeeping during your stay it will need to be pre-arranged and an extra fee paid.
Travel Insurance
Although we do not sell travel insurance, we highly recommend the purchase of trip cancellation insurance and travel health insurance for any travel. Please contact your insurance provider.
Safely Damage Insurance
Guests will be charged a Safely Damage Insurance Fee, the cost varies per property between $59.00 and $79.00 per stay. This will cover a certain amount of accidental damage that may occur during your stay. Any damage beyond the covered amount will be the responsibility of the registered guest. Please note that willful, intentional and negligent damages are not covered under the Safely Damage Insurance policy and will be the sole responsibility of the registered guest(s)
Cancellation Policy
Please note that any eligible refunds are based on the amount paid to Washington Great Escapes | Leavenworth Great Escapes
Our prices are subject to change, therefore your reservation is only secured once the initial deposit of 50% is received and the Terms and Conditions are agreed to. The balance is due 30 days prior to arrival. You will receive an email reminder, or you can call us at 509-349-3009.
We will send you a confirmation by email when your booking is received.
Cancellations are accepted up to 31 days before arrival date. Guests who cancel at least 30 days before check-in will get back 100% of the amount they’ve paid. If a guest cancels between 14 and 30 days before check-in, they will get back 50% of the deposit. There are no refunds for canceling within 14 days of check-in.
You may request to move your booking if your arrival date is more than 30 days away, we reserve the right to deny this request but if approved there is a 10% service fee.
All cancellations must be confirmed with an email to Washington Great Escapes | Leavenworth Great Escapes.
Washington Great Escapes | Leavenworth Great Escapes is not responsible for the weather, road closures, power outages, wildfires, poor air quality, flight cancellations/delays, or other Acts of God that may interrupt or cancel a trip. This includes illness/death in family, car troubles, etc. and there will be NO REFUNDS within 30 days of arrival. This is why we highly recommend purchasing travel insurance.
Snow & Inclement Weather | Local Area Wildlife & Territory
For our Leavenworth and Republic properties, driving conditions may be hazardous and can change at any moment. Please be prepared and drive safely. It's always best to slow down! there are NO REFUNDS for snowstorms or weather conditions. We highly recommend four wheel drive/AWD and carrying chains during the snow months. (Travel insurance is encouraged and Guest may obtain through a third party. Guest ASSUMES THE RISK). By accepting this agreement the guest agrees that they are fully aware of the risks of staying in a mountainous area, such as, but not limited to, sudden weather changes, unexpected winter snow storms, forest fires and other acts of nature which can lead to difficulty in accessing the home. Guests would be prepared for any type of weather conditions.
Our mountainous and waterfront communities see number of different wildlife on a daily basis. Guests should be aware that you could encounter wild animals such as deer, elk, bear, moose, cougar, marmot, raccoon, opossum, squirrel, chipmunk, bats, rats, mice, wild turkeys, coyotes, wolf, crab, sea lions, whales etc. Guests should use caution and only observe any animal from a distance as animals are unpredictable. NEVER feed any wild animal. Do not leave food outside or in your car. And do never leave garbage outside of the garage receptacles. Be sure and burn off and scrape the BBQ after each use.
*Hardrock Ranch is located in a remote mountain community. Guests and their guests should exercise caution and preparedness when exploring the ranches property, some areas are more rugged than others and be sure and stay within Hardrock Ranches property boundaries - a map is provided at the lodge.
Terms and Conditions of Occupancy
The primary guest making the booking must be at least 25 years of age to rent a vacation home. Washington Great Escapes | Leavenworth Great Escapes reserves the right to refuse service to anyone under the age of 25. We require the full name of all guests staying at the property overnight and we also require vehicle information for any vehicles parking on the premises.
Please note that there are restrictions on the number of guests and vehicles allowed at each property. All vehicles must only park in designated areas and not on the grass or on the street.
By state law, occupancy must not exceed what is posted for each property. Guests must not bring more people to the property beyond what is stated in the rental agreement.
Limited Occupancy: Reservations are not transferable. The person who made the reservation must stay for the full duration of the booking. Only guests registered to the house at time of booking are permitted to stay and use any amenities of the vacation home. The maximum occupancy of your rental is the number the home sleeps, that number includes infants and children. Occupancy rules are strictly enforced due to Chelan County STR regulations. We do not allow sleeping on the floor, sofas or any other furniture that is not designated as a sleeping area. We do not allow camping in tents, on deck, patios, RV’s, or campers on the property. We reserve the right to cancel any reservation made under false pretenses, for any guests or groups exceeding the occupancy of the house or other legal reasons.
Parties & Events: These are privately owned homes in residential neighborhoods and not venues for large parties, commercial functions, wedding, bachelor / bachelorette parties, graduation parties, rehearsal dinners or BBQ for large gatherings. (with the exception of Hardrock Ranch with prior approval). Each house has a cap on the number of people permitted to be on the property at one time. Only registered guests are permitted to use any of the amenities of the vacation home. If not adhered to, you and your traveling companions will be asked to vacate the property without refund. We are happy to give suggestions on where to host your party or event.
Quiet Enjoyment - Neighbors & Quiet Hours: It is unlawful for any person to unreasonably cause or make, or for any person in possession of property to allow to originate from the property, sound which is a public disturbance noise. Public disturbance noises include the creation of loud, raucous, frequent, repetitive or continuous sounds that exceed a reasonable person standard so as to disturb or interfere with the peace, comfort and repose of another. Chapter 7.35 NOISE CONTROL Respect quiet times between 10 pm and 8 am in accordance to Chelan County Noise Ordinance. Disruption and/or a call from neighbors could warrant a visit from local law enforcement and result in immediate removal from the property and forfeiture of all rents, fees and deposits. Guests shall not disturb or go onto the property of the neighbors at any of our locations.
No-smoking: Smoking is strictly prohibited in and around any Washington Great Escapes | Leavenworth Great Escapes properties. Our properties are located in high fire danger areas. This includes Marijuana or other tobacco cigarettes, cigars, electronic cigarettes or any similar product whose use generates smoke or vapors. There will be a minimum surcharge of $500.00 for any smoke related clean-up.
Parking and Snow Removal: Number of vehicles is limited to the parking spaces available at each vacation home per Chelan County code. Please park only in designated parking area on the property. Street parking is not allowed. During winter, driveway snow removal is provided. Please be patient with plow drivers during severe storms, as they work hard to keep up with snow accumulation and a very vital to us! Be prepared to move your vehicle if needed.
* Be sure you know the local laws regarding winter parking.
***The person booking accepts full responsibility for any and all damages or losses inflicted upon the house, its contents and/or property.
The Property Owners and Management are not responsible nor liable for accidents, injury or illness to guests, or damage to or loss of personal property of any kind. Guests are solely responsible to the safety and security of all persons in the house, including children, and pets (at our pet friendly properties), at all times during the rental period.
Emergencies: In case of personal injury, emergency, or fire call 911 on house phone (if available). Address of home is on the welcome information on the refrigerator as well as in the welcome book. During a fire, use fire extinguishers if possible without harm to yourself. Please inform management of any emergencies as soon as possible by calling 509-349-3009
Garbage/Recycles: Garbage cans at most of our properties are located outside, some properties also offer recycling. We take the garbage and recycles to the roadside before 7am Tuesday morning. Please ensure that garbage and recycling (if available) is sorted and taken to the cans before 5pm on Monday evening and prior to your departure.
Before leaving: Prior To Check Out Please follow the check out procedures posted on the refrigerator and/or the property welcome book including the following:
*Place all soiled towels in the designated bath tub or shower per the instructions listed in your arrival instructions, listed on the refrigerator or welcome book
*Run the dishwasher (if one available) or hand wash soiled dishes prior to check out.
*Dispose of all garbage per “garbage/recycle” instructions listed in “8”
*Please clean countertops and stove top of any spill or sticky residue
Double check that you have not left any personal items behind. Call us if you have forgotten something and want it shipped back to you.
House Maintenance: Your home is professionally cleaned and disinfected prior to your arrival.
While we do not expect you to dust, scrub toilets or vacuum on your holiday, we would ask that you please keep the house clean and tidy (as it was when you arrived). Cleaning up spills immediately protects the finish, and keeping the kitchen clean prevents little critters from feasting on your leftovers. Only use appliances for their intended uses..
After Your Stay Each property will be inspected and cleaned after your departure. The cleaning fee paid to rent the property covers normal cleaning. If the vacation home requires more than normal cleaning after your stay, you will be assessed the additional cost charged to you at the rate of $50/hour.
Please help us maintain the home in good and clean condition by following these simple procedures during your stay:
*Dispose of all garbage per “garbage/recycle” instructions listed in “8”
*Please clean countertops and stove top of any spill or sticky residue
*If bedding and or towels are stained, please do not attempt to clean, this may set the stain. Please let us know as soon as possible and definitely before your departure.
*Please do not rearrange furniture in the house. Outdoor furniture stays outside, Indoor furniture stays inside! Some of the floors in our properties could be damaged by furniture being moved.You may be assessed an additional cost for your stay if furniture is damaged from being inappropriately treated or the additional time to put furniture back in it’s designated spot.
*Odors - Please refrain from cooking foods or creating aromas that linger beyond your stay. Strong aromatic foods can be cooked outside on the grill/BBQ.
*Locked owners’ closets are not included in your rental. If found unlocked, please refrain from taking out additional items or supplies.
**Hardrock Ranch - Guests shall not access areas of the property that are off limits i.e. Shop, Garage, Old cabin on the property or any areas marked "off limits" or "no guest access".
*Washington Great Escapes | Leavenworth Great Escapes reserves the right to enter the premises to perform maintenance and ensure the vacation rental home is kept in good repair. During your stay we may have some maintenance work done on the outside of the home such as mowing, trimming, cleaning BBQ/grill, tidying up patio and /hot tub/pool/pond maintenance (if applicable).
Report all maintenance issues promptly. Just as might happen at your own well-maintained home, mechanical failures, disruption of services and other breakdowns can occur. Every effort will be made to correct the situation; however, no refunds or rate adjustments will be made for mechanical and service failures that are beyond our control. Report any damage or breakage right away so that the matter can be settled before departure. Damages found by inspection after departure and not covered by Safely will be the responsibility of the primary guest.
Repairs & Service Calls: Because most of our properties are located in rural areas, it is often difficult to get repairs done the same day we are made aware of them. Please be patient if something breaks down during your stay. We will do our best to remedy the situation as quickly as possible, but just like at your home if something breaks down, a repairman is not always immediately available.
PETS: Dogs or other pets are strictly prohibited at non-pet friendly homes due to allergies, we do however have pet lodging recommendations for your fur family member during your stay. If you are staying at one of our pet friendly properties, we allow one well behaved dog, guests must disclose if they are bringing a dog to the property prior to making their reservation. No additional animals are allowed on the property at any time. Pets should not be allowed to be on the beds or furniture. For their safety and the respect of our neighbors dogs must be leashed at all times when outdoors. Please do not leave your pet loose in the home unattended, you may use a crate and do not allow your dog to keep barking continuously inside or out. If damage is caused, the cost of the damage or additional cleaning required will be the responsibility of the primary guest.
*Please pick up after your pet immediately. Any pet waste not picked up will incur an additional clean up charge.
If guests bring a pet to a non-pet friendly property they will be violating the rental agreement and subject to forfeiture of any deposit and any necessary special pet cleaning/sanitation costs and guests will be asked to vacate the rental immediately and will not be refunded for the remainder of their stay.
Fireplaces/Wood Stoves: If the home has a wood burning fireplace/stove, follow the directions provided in the welcome book or postings. Do not sue twigs or scrub brush. Chimney fires are always a concern. Do not light a fire on the day of your departure. Note that some fireplaces are not available for use and have been labeled do not use.
BURN BANS - BE AWARE OF ANY LOCAL BANS PRIOR TO STARTING A FIRE. If it is reported or found that any guest has had a fire at any time during a Burn Ban, the police will be called immediately to escort you from the premises and all funds will be forfeited. Fire danger is very real and thousands of acres of forest and homes have been burned over the years as well as lives of wildlife and people lost due to the careless actions of humans. We will not, under any circumstance tolerate our guests risking the lives, homes, property and surrounding nature by not taking this very seriously.
Hot Tubs Some of our properties have outdoor hot tubs. Please abide by the rules listed in the property welcome book at each property and any posted instructions/rules.
Fireworks & Firearms: Absolutely NO FIREWORKS OR OUTDOOR FIRES OR DISCHARGING FIREARMS are permitted on the premises. Fires / Fireworks / Firearms pose a danger in our high fire risk area! All of these are strictly prohibited in or around any of our properties including but not limited to fires, discharging firearms of any kind, fireworks, cigarette butts. Hunting may be permitted during the proper season at our Republic property with prior permission.
Exterior security cameras/noise monitoring systems: To keep properties safe during times vacancy and to assist in complying with Chelan County Short Term Rental Codes video cameras may be present at a property you are renting. Video cameras are located on the exterior of the home/garage only and may be photographic or video recordings, they are clearly visible and only view driveways and outdoor parameters. Please contact us prior to arrival if you have any concerns or need clarifications. There are no electronic video surveillance of pools or hot tubs, or in the interior of a home. We use a noise monitor system called Noiseaware to monitor for noise that could potentially disturb neighbors or noise set for thresholds after quiet hours. Normally there is one monitor in outdoor patio/deck area and one indoors near gathering space. These do not record voices, only decibels.
Loss or damage: We reserve the right to charge for any loss or damage etc. assessed upon departure. If extra cleaning or sanitizing is required over and above what would be considered normal wear and tear, a minimum fee of $500 fee will be charged to cover these extra costs.
We understand that you are on vacation and realize that the above may seem strict, but many of these policies are meant to ensure safe enjoyment for yourself and your guests, but also to reduce wear and tear on the home and ensure the quiet enjoyment of neighbors.
Failure to comply with any of the above or for any reason determined by Washington Great Escapes | Leavenworth Great Escapes, will result in you and your guests immediately vacating the vacation home. If you are requested to vacate before your scheduled departure date as a result of not complying with the Terms and Conditions of Occupancy, you are not entitled to any refunds.

If you booked with an online travel agency or third party such as VRBO or Airbnb, we suggest contacting us directly to book your return visit as we may have a discount offer for past guests.
